What you get.

Invented, so we can show you the shape of it. The real line waits at the end.

Hotel Aurelia

Twelve rooms, no night desk

A fictional hotel, invented for this illustration.

The Blumenhof lounge, the desk bell on the table.

One night

Watch one night at the desk.

  1. 19:30

The last shift ends. The phone does not.

From here, the line is covered.

  2. 23:14

    A call comes in.

    • Guest Good evening. Do you have a double for Friday and Saturday?
    • Elena We would be glad to have you. May I take your name?
    • Guest Dan Cara. Two of us, arriving late, around eleven.
    • Elena Noted, Mr Cara. A double, Friday and Saturday, arriving late. I will write it down for the desk to confirm in the morning.

It gathers the booking. It never guesses at rooms.

  3. 23:14

The booking lands in the book.

  4. 02:40

    A question, answered and noted.

    The night, in one place

23:14 Draft Double for the weekend. Waiting for the desk.
02:40 Noted Late check-in question. Answered.

Every request waits in one place, not on six voicemails.

  5. 03:10

Something only the owner should decide.

    • Guest I stayed last month and I was not happy with the room.
    • Elena I am sorry to hear that. The owner will hear this personally, first thing in the morning.

    Flagged for the owner

It knows what is not its call. The message goes to the top of your briefing.

  6. 07:00

You wake up to the night, already handled.

Reads in one minute. The desk confirms the rest.

That night was invented. This is not.

The line below is live and answering now. Ring it and book a room, as a guest would.

Hear it

Press for the front desk

The call and the book are one place.

Calls land in the same book we open with our coffee, and the desk confirms the bookings from there.

The phone and the book run every day at our own hotel. The fuller desk is built and ready, never something for you to learn.

Who it suits

Boutique hotels, guesthouses, bed and breakfasts, and small country hotels, under about fifty rooms, owner or manager run, with no front desk through the night. If you already have a night reception that answers every call, you probably do not need this.

Straight answers

What happens with a real emergency?

It is a hotel front desk, not a medical line. For anything urgent it points the caller to emergency services and takes a message for your team. It never pretends to handle what a person should.

Does it guess when it does not know?

No. If it is not sure, it takes the details and flags it for your team. It never invents a rate or a policy.

Will it sound like a robot?

Call it and judge for yourself. That is the whole point of the number above.

Do we have to change our system?

No. Your number stays the same. If you want, it can look after your bookings too, but nothing on your side has to change.

Does it push guests to book direct?

It answers on your own line, so a call becomes a direct booking instead of one a travel site takes a share of. It never names a travel site or talks a guest out of one.

Do we have to run this ourselves?

No. There is no screen for you to work. We set it up and look after it, and you read the morning briefing and a monthly summary. The desk stays yours.

What does it cost?

It depends on your hotel. We talk about that on the call, once you have heard it. There is no price to work out on this page.
